Blackheath Village Society Minutes 14th July 2025

Minutes of the Meeting Held at Theobalds on Monday, 14th July 2025, at 7:30 pm
Present: David, Paul, Anne, Simon, Andy, Laura and Max
Apologies: Ralph and Ranald

1. The Minutes of the Meeting Held on 27 May 2025 were read and agreed, with no
points arising.

2. Village Fair - 2025:
Max provided an update on the income and expenses, with a revised total profit of
£7,600. Terracotta Estate Agents sponsored the event and David will contact them
regarding the £750, which has still not been credited to our account.
Simon suggested that we contact James (who ran the toss the bale stall) as we have not
distributed the prizes yet.
We have already agreed distributions to The Abbey, Wonersh and Shamley Green
School, Wonersh Scouts, the Cricket Club, the Village Hall and St Martin's Church,
amounting to £2,300. Paul will distribute those monies by either cheque or transfer once
he has been provided with the appropriate information.

Both Jan Cope and Dr Gill Wilkinson have volunteered to head up the BVS Finance Sub-
Committee to distribute up to £2,000 for local causes and charities. Paul with draft an

email to them to set out the terms of reference for approval by the Committee before
emailing to them. The final decision on any distributions will be agreed at this year’s
AGM in September.

3. Summer BBQ - 2025:
Simon will confirm that the Cricket Club is available for the event.
As the Haywards are unavailable to run the kids' games and events, Andy will take on
the responsibility and organise various games, including rounders and a tug of war.
David will speak to Jackie Hayward to establish the format and where any props can be
obtained.
Ranald will purchase two lamb carcasses and will be responsible for the BBQ.
Residents will be asked to bring salads and puddings, and a reminder will be sent to
everyone on or before the 11 August 2025. It was agreed that we would be seeking
donations from residents and their guests as detailed in the previous minutes.
The BVS will provide pimms, and the Cricket Club will open the bar with all profits will go
to the Cricket Club. Simon will arrange for someone to run the bar on our behalf.
David will speak to Charlie about producing a poster/advert to be both posted on our
website and distributed to all residents of Blackheath village.

4. The Villagers (Volunteer) Public House Update:

Paul provided a full update, which emphasised the points outlined in previous meetings
and confirmed we have reapplied for am extension to register the property as an Asset of
Community Value.
In order to bring all residents up to date, we will produce a pamphlet to provide a vision
for the future of the pub/café. This will provide “proof of concept” with pictures and plans
so that everyone understands what we are trying to achieve. Comparisons can be seen
with other similar establishments in both Shamley Green and Shere.

5. Other Events - Dates for Residents’ Diaries:
• Bonfire Night 1 November 2025
• Christmas Party 13 December 2025

6. Annual General Meeting:
It was confirmed that this will be held in the Village Hall on the 9 September 2025 and
Paul will distribute the information by email and on the village noticeboard in accordance
with our constitution.
The agenda will include the following: Prevention of flooding in the village, speed
restrictions, charity funding from the net fair funds, fair update, vision for the village
pub/cafe and a proposed Welcome Pack for new residents.

7. Wonersh Parish Council:
There were no updates.

8. Blackheath Village Hall:
David will meet up with Graham Hayward and discuss any proposals that he may have
to combine the Village Hall Committee and the BVS.

9. Cricket Club:
Simon confirmed that cricket week will be from the 4th August 2025.
He also confirmed that a barn dance will be held on Friday, the 8th August 2025.

10. Any Other Business:
Both David and Anne will send Paul their details in order that we have three
“Responsible Persons” for HMRC Charitable Status. We are registered on their website
in order to claim Gift Aid sponsorship.
Simon distributed copies of the old welcome pack and asked members of the Committee
to provide him with ideas in order that this can be updated for any new residents.
We agreed to update Flicker to Flicker Pro for £100, which is required for our website.

11. Next Meeting to be Held at Theobalds on Tuesday 19th August 2025 at 7:30 pm.
As there were no further matters to discuss, the meeting ended at 10:00 pm.
